Privacy Policy

Snowtex Chat ("SCOM", "the app") is an internal workplace messaging and calling application operated by Snowtex Group ("we", "us") for its employees. This policy explains what data the app accesses, collects, uses, and shares.

1. Who can use this app

SCOM is restricted to Snowtex Group employees. An account can only be created with a valid company Employee ID. The app is not intended for, and does not knowingly collect data from, the general public or children.

2. Data we collect

• Account information: your Employee ID, name, phone number, department/designation (from company HR records), profile photo, and a password (stored only as a secure hash).
• Messages and content you send: text messages, photos, videos, voice messages, documents, polls, and status updates. These are stored on servers owned and operated by Snowtex Group so they can be delivered to their recipients.
• Call information: who called whom, when, and for how long. Audio/video call streams are transmitted through our own media server and are not recorded.
• App activity: online/last-seen status, read receipts, and typing indicators, used to provide standard messaging features.
• Device push token: an identifier issued by Google Firebase Cloud Messaging, used solely to deliver message and call notifications to your device.

3. Device permissions we request

• Camera – to take photos and make video calls.
• Microphone – for voice messages and audio/video calls.
• Photos/media/files – to attach and save shared media.
• Notifications – to alert you to new messages and incoming calls.

Each permission is used only for the feature it enables and only while you use that feature.

4. How we use your data

Data is used exclusively to operate the service: delivering messages and calls, showing who is online, sending notifications, and letting company administrators manage workplace communication. We do not use your data for advertising, profiling, or marketing of any kind, and we do not sell it to anyone.

5. Data sharing

• Your messages are visible to their intended recipients (the person or group you send them to).
• Authorized company administrators may access workplace conversations and account records for legitimate business, security, and compliance purposes, consistent with Snowtex Group's internal employment policies.
• Google Firebase Cloud Messaging is used to deliver push notifications; it processes a device token and notification payloads for this purpose only.
• We share data with no other third parties, except where required by law.

6. Data storage, security, and retention

All data is stored on servers owned and managed by Snowtex Group. Connections between the app and our servers are encrypted with TLS (HTTPS). Passwords are stored hashed (bcrypt). Messages are retained while your account is active or until deleted; chats with disappearing messages enabled are removed automatically after their timer. When an employee leaves the company, the account can be suspended or deleted along with its personal data.

7. Your choices

• You can edit your profile, delete your own messages, and control notification settings in the app.
• You may request access to, correction of, or deletion of your account data by contacting the IT department (below). Account deletion removes your profile and personal data from the system.
• You can revoke any device permission at any time in Android settings; related features will stop working but the rest of the app remains usable.

8. Changes to this policy

If we change this policy, we will update this page and the "Last updated" date above. Material changes will also be announced inside the app.
